Inca Trail: terms and conditions

These terms apply to every Inca Trail booking (Classic 4-day, Short 2-day, 1-day and Luxury Inca Trail, and packages that include the Inca Trail). Where they differ from the general sections below, these Inca Trail terms prevail.

At Terra Quechua Perú, we are committed to providing transparent and reliable travel services. By making a booking, you acknowledge that you have read, understood, and accepted the following terms and conditions.

1. Prices and Payments

All prices are quoted in US dollars (USD) and may change without prior notice before payment. Once payment is confirmed, the agreed price will remain unchanged. All services must be paid for in advance using the payment methods available on our booking platform.

2. Booking Changes

Bookings are personal and subject to availability and the regulations of the relevant authorities. Once confirmed, travel dates, participants, and tour types cannot be changed. Date changes may require a new booking and additional fees. Complimentary options may be changed up to 48 hours before departure, subject to confirmation.

3. Travel Documents

Customers must provide accurate personal information and present the original passport or identification document used for the booking, as required by the relevant authorities. Travelers receiving student discounts must present valid supporting documentation.

Incorrect information, invalid documents, or failure to meet official requirements may result in denied entry without a refund when the issue is the customer’s responsibility.

4. Itineraries

Itineraries are provided for guidance and may be adjusted due to operational requirements, weather conditions, safety concerns, official restrictions, or other circumstances beyond our control.

5. Cancellations and Refunds

Cancellation requests must be submitted through Terra Quechua Perú’s official channels. The following refund policy applies:

  • 30 days or more before departure: 70% refund.
  • 8 to 29 days before departure: 50% refund.
  • Less than 8 days before departure, no-shows, or cancellations during the trip: no refund.

If a booking has not yet been submitted to the relevant authorities, a refund may be issued less an 8% administrative and banking fee, with a minimum charge of USD 35.

If Terra Quechua Perú cannot confirm a booking due to lack of availability, customers may choose an alternative date at no additional cost or receive a full refund.

Cancellations or service interruptions caused by force majeure or circumstances beyond our control will be handled according to the specific circumstances and applicable law.

6. Inability to Confirm a Booking

If incorrect information or failure to meet booking requirements prevents us from securing a reservation, Terra Quechua Perú will make reasonable efforts to resolve the issue. If the booking cannot be completed, the applicable refund policy will apply, subject to current law.

7. Optional Services

Additional services, such as extra porters or equipment rental, are charged separately and are subject to availability. Prices and conditions will be communicated at the time of booking.

8. Complaints

Complaints should be submitted through our official channels within 90 days of the service completion date. Terra Quechua Perú will review each complaint in accordance with the agreed terms and applicable law.

9. Liability

Terra Quechua Perú arranges the contracted travel services through the relevant suppliers and service providers. We are not responsible for delays, accidents, losses, cancellations, or interruptions caused by force majeure or circumstances beyond our reasonable control, without prejudice to any responsibilities imposed by applicable law.

10. Acceptance of Terms

By completing a booking, customers confirm their acceptance of these Terms and Conditions. We encourage all customers to review them carefully before making a payment.

1. Who we are

These terms apply to every service booked with Terra Quechua Peru (Terra Quechua E.I.R.L., RUC 20601267439), a travel agency and tour operator based in Cusco, Peru, registered by GERCETUR Cusco in Peru’s National Directory of Qualified Tourism Service Providers (certificate No. 012-2026-GR/GERCETUR-SGFC) and licensed to operate the Inca Trail. Office: Calle Garcilaso 210, office 204, 2nd floor (Galería Casa del Abuelo), Cusco. Email: info@terraquechuaperu.com · reservation@terraquechuaperu.com. See our certifications.

2. How to book

  • Send the details of every traveler exactly as they appear in the passport: full name, passport number, nationality, date of birth and gender. We need them to buy permits, entrance tickets and train tickets.
  • Each passport must be valid for at least 6 months from the day you enter Peru; otherwise immigration can refuse your entry.
  • Inca Trail permits are personal: they are issued with your passport number and cannot be transferred to another person or date. If you renew your passport after booking, send us the new number and we update it in the system.
  • Your booking is confirmed when we receive your deposit and send you our confirmation by email. For the Inca Trail, we confirm your permit the same day permits open or within 2 days at the latest.

3. Prices, deposits and payments

  • Inca Trail: a 30% deposit secures your place; we use it to request your permit.
  • Other tours and packages: the deposit is shown on each tour page and at checkout (30% for most multi-day tours). Some day tours and services, such as train or bus tickets, are paid in full when you book.
  • Online payments are made by card (Izipay) or PayPal and include a 6% processing fee, shown before you pay.
  • Balance: the rest (70% for the Inca Trail) is paid at our office in Cusco on your first day in Cusco, in cash (US dollars or soles) or by card with a 6% fee.
  • If you book within 7 days of departure, the full amount is due when you book.
  • Prices are per person in US dollars. Some tours have a different price for the next season (for example, departures or bookings from 1 January 2027); the price for your date is shown on the tour page and at checkout.

4. Discounts

  • Travelers under 18 (children and school students): US$30 off. Send a copy of the passport when you book.
  • University students aged 18–25: US$30 off. Send a copy of a valid university card showing your full name, your university and the current year, and bring the original on the trip. International student cards (ISIC) are not accepted.
  • If the document is missing or not valid, the adult price applies. Discounts are not cumulative and also apply to private service.

5. Changes and cancellations by the traveler

  • Tours other than the Inca Trail: deposits are non-refundable if you cancel or change your date: they are used to buy permits, entrance tickets, train tickets and hotels, which cannot be resold.
  • Inca Trail: cancellations, refunds and date changes follow the Inca Trail terms and conditions above.
  • For tours other than the Inca Trail, cancelling within 7 days of departure means losing 100% of the tour price.
  • Any change to a booking must be confirmed in writing by email. Costs charged by our suppliers because of the change are paid by the traveler, and availability is not guaranteed.
  • If you fall ill in Cusco and cannot trek but still want to visit Machu Picchu, we can turn your trek into a train trip on the same dates, so your Machu Picchu entrance and train tickets can still be used.
  • If part of a group cancels, the travelers who remain may have to pay extra charges (for example, a single-room supplement).
  • We are happy to provide documents for your insurance claim.

6. If we cannot confirm your booking

Inca Trail: if we cannot confirm your booking due to lack of availability, you can choose an alternative date at no additional cost or receive a full refund (see the Inca Trail terms). Other services: if we cannot confirm your service for your date and you do not accept another option, we refund your deposit by PayPal within 15 business days (the PayPal fee is deducted).

7. Changes made by Terra Quechua and force majeure

  • We do our best to operate every tour as booked, but local conditions can make it necessary to change an itinerary. We may replace a service with an alternative of comparable value. If a major change is needed, we tell you as soon as possible.
  • The Inca Trail closes every February for maintenance, and it can also close at other times because of bad weather or decisions of the authorities. Affected departures do an alternative route, such as the Lares trek.
  • Force majeure: we are not responsible for events beyond our control, such as war, riots, strikes, terrorism, natural disasters, fire, extreme weather, landslides, route closures, transport problems or flight cancellations and changes by airlines. In those cases we propose another date or an alternative program; if it costs less, we refund the difference. If no option is possible, we refund what you paid minus the costs already incurred.
  • We may update prices because of government measures, currency changes, fuel or transport costs, or airfare increases beyond our control.

8. Inca Trail: important information

  • Minimum age: 12 years on the Classic 4-day Inca Trail and 8 years on the 2-day Inca Trail.
  • Campsites are assigned by the Ministry of Culture with each permit, according to availability; the agency does not choose them. Wiñay Wayna goes to the earliest bookings; when it is full, the system assigns Phuyupatamarca.
  • Porters (4-day trek) carry up to 5 kg of your gear: your sleeping bag (about 2 kg) and 3 kg of clothes. You can hire an extra porter for the whole trek (price on request). On the 2-day route there are no porters. We work under Peru’s porter law (Law 31614).
  • Machu Picchu entrances and what is included or not in each trek are listed on each tour page; extras such as Huayna Picchu or Machu Picchu Mountain, sleeping bags, poles and train upgrades are paid separately.
  • Bring the original passport used for your permit (and your original student card, if you booked a discount): they are checked at the trail control.
  • Your main luggage can stay at your hotel or, free of charge, at our office while you trek.

9. Health, fitness and safety

  • Spend at least 2 days in Cusco (3,400 m) before any trek to acclimatize. Make sure you are fit enough for the itinerary you choose; travelers over 60 are advised to get a medical check before traveling.
  • Anyone with an illness, disability or medical treatment must tell us when booking and bring their own medicines. If this is not disclosed, the traveler may be excluded from the tour without a refund.
  • On treks, people walk at different speeds and the guide cannot watch everyone at all times: each traveler is responsible for their own safety. The guide’s decision is final on anything that may put the group at risk, and a traveler who endangers the group may be asked to leave it without a refund.
  • Minors under 18 can only travel with their parents, guardian or a duly accredited responsible adult (Law 30802).

10. Travel insurance

Personal travel insurance covering accident, medical expenses, evacuation and loss of belongings is compulsory. It is not included in our prices. If a traveler falls ill or is injured, we arrange medical attention, but the costs (including hospitalization or evacuation) are paid by the traveler.

11. Passports, visas and vaccinations

Each traveler is responsible for having a valid passport, any visa and the vaccinations or medicines required for the trip. We give information about these matters in good faith, but without responsibility.

12. Responsibility, local laws and complaints

  • We are not responsible for injury, illness, damage, loss, extra expenses or delays caused by the acts or omissions of transport, accommodation or other service companies, or by natural events. Our liability is limited to the price paid for the service.
  • Travelers must respect the laws and regulations of Peru; not doing so releases us from our obligations under these terms.
  • If something is not right during your trip, tell your guide or our office at the time so we can fix it. If it is not solved, send us a written complaint within 14 days of the end of your trip (for Inca Trail bookings, within 90 days of the service completion date).
  • We may decline or end a booking when we consider it necessary for the safety or well-being of the group.

13. Acceptance

By paying a deposit or taking part in a tour, the traveler accepts these terms and conditions. The cancellation clauses apply from the moment the booking is paid. Our emails sometimes land in spam: add info@terraquechuaperu.com and reservation@terraquechuaperu.com to your contacts.
